Each lecture hall will have a projector, connected to a computer, running Windows 10. It is recommended that presenters use this system for the presentation.
Speakers should transfer the presentation to the host computer (via a USB drive) and/or if they must, connect using a laptop via HDMI/VGA connection (Your room volunteer will help with this)
The aspect ratio for the projector(s) in each room can be found in the table below. You can locate the appropriate lecture hall in the Detailed Program.
You must arrive at least 15 minutes prior to the start of your session to:
Introduce yourself to your fellow session chair (there are two for every session).
Familiarize yourself with the AV equipment and seek help from your room volunteer (volunteers will be wearing a yellow vest).
Meet the presenters and verify pronunciation of their names. Ask if they would like you to announce their title and co-authors, or if they would prefer to do it
Resolve any technical issues – volunteers are able to help with this.
Presentations are limited to 20 minutes which will be used as follows:
15 minutes for the talk
4 minutes for questions/discussions
1 minute to set-up and introduce the next speaker
This will be strictly enforced. Please give speakers 5 and 1-minute warnings.
Please ensure the session begins on time. Just before the session begins, briefly introduce yourself to the audience.
If the room is sparsely seated, encourage the audience to reseat themselves closer to the front of the room. This will increase audience/presenter interaction.
Please check the Session Updates and program agenda for your session. Should a speaker fail to appear, you may allow the preceding discussion to continue, or suspend the session until it’s time for the next scheduled paper. Please do not move any of the subsequent talks to fill the empty slot. At the end of the session, you may allow a speaker who missed his or her scheduled time to speak, if time allows.
You will be expected to encourage discussion and moderate the question period. Consider preparing a question to get discussion started. Make sure questions can be heard and understood and repeat them if necessary. Please ensure that all presenters (students in particular) are treated with professional courtesy. Keep an eye on the clock, and suggest extended discussions be postponed until after the session ends.
